  • Analyze receipts for delivered materials and allocate to proper site. Type all invoices for each site.
  • Prepare HUD documents for replacement reserve draws.
  • Prepare partner distributions for review.
  • Set up and maintain vendor records including verifying employer identification numbers.
  • Code documents and items in purchasing system according to company procedures, including verifying employee credit card allocations.
  • Create and deliver rent certificates to residents and former residents on request for filing of homestead credit.
  • Assist with reviewing utility billings and customer accounts for accuracy, requesting refunds, reallocating customer accounts, and invoicing customers as needed
  • Assist with preparing, auditing, examining, or analyzing accounting records, financial statements, or other financial reports to assess accuracy, completeness, and conformance to reporting and procedural standards.
  • Assist in preparing journal entries and work papers for annual audits.
  • Assist in submitting annual audited financial statements to HUD real estate assessment center website for processing.
  • Fill in for department personnel as needed.
  • Comply with federal, state, and company policies, procedures, and regulations.

The ideal candidate will have previous experience in purchasing, or employment in the construction, hardware industry or multi-family housing industry in purchasing or inventory control, along with some familiarity to construction, project management, property management, and will also have knowledge and experience with reading, editing and reviewing contracts related to construction, maintenance and housing primarily as well as service contracts. Working with, and developing relationships with, vendors in the fields of landscape and snow removal, waste disposal, HVAC, and various construction fields is essential.

Job Responsibilities

  • Procure products and services for our apartment communities: Such as contractor services, new appliances, replacement parts, and maintenance supplies.
  • Source vendors for products and services. Check references utilizing vendor sign up procedure and current Purchasing Dept. policies.
  • Prepare requests for quote / bid, coordinate bid process with contractors, monitor contractor bid returns, compile returned bids and prepare bid summary reports for capital improvements, submit to Purchasing Director for review.
  • Monitor contractor performance and completion of contracts and services.
  • Data entry using Metropolitan Associates property management software, filing, and other administrative duties using standard computer software (i.e. Microsoft Word, Excel, and Outlook).
  • Maintain current pricing entered into computer for flooring, appliances, and other services / supplies - update as needed.
  • Pest management protocol based on current management procedures.
  • Assists Property Management with the resolution of vendor/contractor delivery and customer service concerns.
  • Assist Purchasing Clerk as needed to process invoices, statements, delivery receipts, and related paperwork to allow for timely payments to vendors (as directed from the Accounting Department).
  • Assist Purchasing Clerk as needed regarding record keeping for current inspection reports; certificates of insurance for active vendors, and other reports as necessary.
  • Scheduling of city/state mandated inspections and associated record keeping.
  • Facilitates the availability of Safety Data Sheets from vendors

Job Requirements

  • High school diploma/GED required.
  • Two years property management or facilities management purchasing experience preferred.
  • Advanced computer skills, including Microsoft Word, Excel, Outlook and DocuSign.
  • Detail oriented with strong communication & organizational skills, editing, writing skill required.
  • High expectation to work independently.
  • Must possess the ability to multitask in a fast paced office environment.
